Notes & definitions Video summary

Note:

  • Please ensure your company's designated System Administrator has access to this video in order to complete the preliminary set up of users, roles and entitlements on the new system.

Entitlements:

  • Specific levels of authority within the online banking system. For instance, a user may be entitled to complete transfers or pay bills, while another may only be entitled to only look at balances.

Role:

  • A combination of entitlements. For example, a role of "Treasurer" can be created with specific entitlements allowing them to transfer money between accounts as well as send wires on behalf of the company.

User:

  • The individual (or individuals) that will have access to your company's online banking system.

System Administrator:

  • The person designated by you who is responsible for setting up your company and its users before you can begin using ATBOnline Business. The System Administrator will also have many other rights, privileges and responsibilities, including full access to new audit functions, password resets, and serving as your company's internal expert to help your users with access issues and questions.

ATBOnline Business offers greater freedom and control around users and their access. Learn how your designated company's System Administrator will set up various roles for your company, create new users, and then assign these role-based entitlements to each new user added to the system.

This section focuses on setting up key individuals in your company as online banking users, as well as setting up roles within the system and entitlements within each role. This will allow you to control who uses what features within your company's online banking service.

Designating a System Administrator

All of the entitlements, roles, and users are set up by your company-designated System Administrator. They can be the company owner, or an officer that your business would be comfortable with having complete access to any transaction or query within the online banking system. ATB will provide full support to your Administrator, who is the only person authorized to contact ATB in order to make online banking changes or request assistance.

Responsibilities of the System Administrator

If your company has more than one person performing daily tasks, the System Administrator can define and assign certain roles and functions associated with those tasks. For example:

  • They can give your Accounts Payable Clerk access to transaction information, transfers and EFTs, while your controller could have complete access to all transactions.
  • They can set-up multiple users and define their entitlements on a role-by-role basis.

Setting up users, roles, and entitlements

Once you've logged in as the Administrator, using your username and password, you can set up your company's users, roles and entitlements by going into the Administration section, and then into Manage Roles. As these will be blank, you'll to add new roles, create entitlements for each role, add users to your system, and assign each user with a role you've already created.

In this example, users have already been set up and roles have been assigned, but as Administrator you wish to add a new role and a new user. Go to Manage Roles to add a new role.

On the Add Role screen, you will give the role a name and a description. You can also select an existing role as a starting point and customize it from there.

  • You can review and grant access to your company's various accounts.
  • You have the option to grant access to the activities on the account.
    • For example, to give a person access only to the payroll account, you would simply select it.
    • If you don't want them to have access to bill payments or transfers, simply unselect these options.
  • Using this payroll account for demonstration, start by saving the new role.
  • In the Manage Users screen, click on add a new user to go to the Add User screen. Give the user a unique username, select their temporary password, make the user active, and assign a previously created role.

Once you've added the user, they will only have access to the functions in their assigned role.
